A Buyer's Checklist for Rice Lake Load Cells, Digimatic Micrometers, and Lab Pipettes

Some orders are simple.

Toner. Trash bags. Coffee. This checklist isn't for those. It's for the equipment that sits on a shelf for a month and then gets wired in at 4:55 on a Friday: Rice Lake load cells, Digimatic micrometers, oscilloscopes, pipettes.

If you're an office administrator or a junior buyer who has to order lab and test equipment without being an engineer, this is for you. I manage purchasing for a 40-person manufacturing and QC company. About $200k a year across 12 vendors. I report to operations and finance. A buyer's real job is to make sure the engineer gets the right thing with the right paper. The biggest mistakes I've made came from skipping one verification.

Here's the six-step checklist I use for incoming measurement equipment.

Step 1: Put the exact model number on the purchase order

An engineer saying 'load cell' is like saying 'car.' It doesn't tell you what to order. There are single-point, bending beam, compression, and canister load cells with capacities from grams to tons. If the model number isn't on the purchase order, ask before you order. Put the model number in the PO and in the receiving log. I want to say I learned this after 120 orders. Actually, it took me about 30.

Had 2 hours to approve a rush order once. Normally I'd get three quotes. With the CEO waiting, I went with the vendor already in my file. The part was right, but the paperwork took three weeks. Now 'rush' still includes the model number. Nothing gets skipped.

Same for a Digimatic micrometer: include range, resolution, SPC output, and calibration certificate. Same for a 465 oscilloscope: include brand, bandwidth, probes, condition, and calibration status. A PO that says '465 oscilloscope' might get you an old Tektronix 465. It might also get you a used scope with no probes and a dead channel. The label matters.

Step 2: Check the paperwork before you sign for the box

When delivery arrives, don't sign the carrier's copy until you've seen the packing slip and checked the model plate. If the paperwork is missing or the model doesn't match, write 'incoming inspection pending' on the delivery receipt.

The March 2023 incident changed how I think about receiving. We took in a load cell in a perfect box. The cable was crushed. Nobody knew, because the box was signed for and put away. The box looking fine is not proof.

Also check calibration paperwork. For Rice Lake weighing systems used in a legal-for-trade application, ask for NTEP approval or OIML R76 evidence. For a digital micrometer with SPC output, ask for a calibration certificate with actual readings. For a Tektronix 465 oscilloscope, even used, ask for documentation of the last calibration and current condition. If the vendor can't provide traceability, lower either the price or your expectations.

Step 3: Verify the Rice Lake load cell color code before you wire it

This is the step everyone skips because it doesn't come up until installation. Find the load cell data sheet before the electrician starts. For many four-conductor Rice Lake load cells, the color code is red = excitation +, black = excitation -, green = signal +, white = signal -, with bare wire as shield. But I've seen a load cell where the cable didn't match that pattern. The correct code was printed on a tiny label under the potting. So don't wire from memory.

Step 4: Match calibration to the actual use

On one hand, they feel like overkill for a 465 oscilloscope used only for viewing waveforms in training. On the other hand, the one time I said 'it's just for training' was the time a customer auditor asked for traceability. So let the using engineer set the expectation.

For a load cell used in a production scale, ask for the calibration report to show the range you actually use. For a Digimatic micrometer, check the zero before accepting delivery and again before it is used. If the instrument has been dropped, the calibration certificate does not cover it. A certificate is a snapshot, not a force field.

It took me three years and about 120 orders to understand that for precision instruments, the paperwork is part of the product. The instrument may be perfect. Without the right paper, it is still nonconforming. That's why an acceptable calibration report should reference applicable standards like ASTM E74 for force, NIST Handbook 44 for scales, or ISO 8655 for pipettes. The wording matters.

Step 5: Confirm how to use Eppendorf pipette before you put it in service

Okay, this one isn't weighing equipment. But in a QC lab, it matters. Buying a new Eppendorf pipette isn't enough. Someone has to know how to use Eppendorf pipette correctly.

Here's a quick check. Set the volume by turning the plunger knob; don't pull it. Attach a matching tip. Press to the first stop, draw liquid slowly, release against the inner wall of the tube. Then press to the second stop to empty the tip. The first stop versus second stop is where beginners hesitate. If the new user can't demonstrate it, set up training before you log the asset as ready.

An informed customer asks better questions and makes faster decisions. I'd rather spend ten minutes explaining than write an RMA in a month.

Step 6: Keep the serial number and support number together

After inspection, before you close the asset register, write the serial number, model number, calibration due date, and tech support line in one place.   • For oscilloscope: probes and manual included? yes/no
  • For Eppendorf pipette: user can demonstrate first stop and second stop? yes/no
  • Support number saved in asset log? yes/no

Not every item applies to every delivery. But every 'no' should have an explanation.

Common mistakes I've made so you don't have to

  • Trusting color code memory. A four-wire load cell is usually red/black/green/white. Usually is not a wiring plan. Verify.
  • Skipping calibration paperwork. A micrometer without a certificate is just an expensive indicator. Ask for data.
  • Accepting 'calibration free' as calibrated. Free calibration often means a generic statement, not a measured data report. Not the same.
  • Not checking the model plate. Rice Lake load cells can look identical and have very different capacities. The label is the fact.
  • Assuming the user knows the pipette. Some people pull the plunger instead of turning it. That changes the calibration. It's worth checking.

That's the list. Verify before you sign. Put the numbers in the file. Train the user. If you do that, the equipment won't be the reason your day goes bad. And you won't be the buyer who has to say 'I thought it was the right one.'
